Duties Include

Assist Client Services Manager with various tasks during the workday, including:

  • Greet visitors in a friendly, professional manner. Promote positive public relations with our clients and our office.
  • Interact daily on the phone and in person with prospective and existing clients including handling basic inquiries. Excellent communication skills (both written and verbal) needed.
  • Day-to-day office operational functions: answering phones, filing, general office support, basic computer skills are necessary along with a desire to learn and grow in this area. Experience with outlook for Email, Excel, Word necessary and experience with Salesforce would be very helpful.
  • Marketing duties include, submitting marketing documents to compliance for approval, monitoring on social media, working with Buffer, sending out mass emails to client through our system.
  • Perform other duties and responsibilities as assigned, special projects etc.
  • Assist in the scheduling of client’s advisor meetings and regularly scheduled client check in calls daily.
  • Help maintain client data base in Salesforce.
  • Ability to work with minimal supervision.
  • Excellent organizational and multitasking skills.

Minimum Requirements
  • Ability to work primarily in the RFC office location on a computer and on the phone for approximately 40 hours per week during normal business hours of Monday through Friday 8am to 5pm EST.
  • Fluency with English Language.
  • Ability to pass a background check that includes identity, credit, and criminal history.
  • Access to a working device capable of doing video calls for interviews.
  • Ability to provide three professional or personal references willing to speak with us.

The Financial Planning Administrative Assistant position is designed to enhance the client relationship by supporting the Financial Planners with service and operations duties. This position is an integral part of the Financial Planners group as well as the Operations Team. They will coordinate with Financial Planners and clients to ensure every aspect of advisory and insurance accounts are set up accurately and properly maintained according to the client’s plan. This role will often be the primary contact for client inquiries and account maintenance requests. This position provides the opportunity for development into a role as a financial advisor. While it is expected that the candidate invests in the expansion of their technical knowledge and skills, the firm also makes a commitment to support the candidate along their growth path.

Duties Include
  • Service client needs and requirements as determined through electronic and in-person client interaction
  • Support Financial Planner communications with the client base including phone calls, emails, and meetings
  • Build and maintain a relationship with the client base with the primary focus on service and operations
  • Coordinate with the Planners and the Operations team to generate annual client review materials
  • Support Financial Planners as requested
  • Rebalance clients as part of the team and at the direction of the Financial Planners
  • Input client information into various web-based software applications (SalesForce, HolistaPlan)
  • Adhere to all company and industry supervisory guidelines and policies
  • Attend client meetings and be responsible for follow up activities at the request of the Financial Planners
  • Interact with the firm’s Operations team on all planning and follow up
  • Follow and maintain written processes with a desire to improve processes where needed
  • Provide positive and professional service to the client base assigned as well as all internal and external Stakeholders and vendors
  • Participate in daily morning advisor meetings, training, and continuing education requirements
  • Attend all sales and marketing meetings scheduled for Financial Planners
  • Attend all training and information sharing meetings scheduled for the Operations team
  • Attend firm client events when appropriate
Minimum Requirements
  • Knowledge of Financial Advisor office tools (i.e., Orion, SalesForce, etc.) preferred
  • Knowledge of Microsoft Office, including Word, Access, Excel, and Outlook
  • Excellent interpersonal & communication skills
  • Excellent attitude and an extraordinary client service orientation

This role is a professional financial services operations position: Client Operations Associate. We view financial back-office operations as a career path in itself and distinct from being a financial planner. This position is for someone who likes making things happen behind the scenes and supporting others. We are looking for someone to be comfortable in the role for the long term and be a stable anchor for both clients and planners.

A Client Operations Associate is responsible for coordination and completion of operational tasks in service of our clients and planners. The primary goal is to provide a stable foundation of seamless operational execution for our clients so that their planners can focus on building a relationship and adding value through financial planning and investment management. In addition, the role will deliver client value directly through operational expertise and assisting both clients and planners in navigating complex custodial and cash management situations.

This operations ninja will work as part of a team with three planners dedicated to our clients. The role is expected to work closely and in coordination with the planners. The Client Operations Associate is also expected to interface with clients directly as necessary in a friendly and professional manner.

Duties Include
  • Interface with our broker dealer, custodial, and investment partners, (examples: Fidelity, Jackson National, National Financial Services; American Funds, DFA Funds, among others), to execute custodial operational tasks such as cash management transfers, account opening, and account maintenance. This workflow includes:
    • Fielding operational requests from clients and planners.
    • Drafting the appropriate paperwork and obtaining signatures from clients.
    • Submitting paperwork and requests to custodians for processing.
    • Monitor for exceptions and troubleshooting as needed.
  • Collaborate and communicate with planners about client operational needs.
  • Proactively follow up with planners and clients regarding outstanding operational needs. Shepherd tasks and ensure completion.
  • Maintain appropriate documentation and CRM record-keeping for each client.
  • Proactively identify shortfalls and work with planners to improve workflow, documentation, and communication.
  • Effectively self-manage various project and deadlines.
